This Privacy Policy (“Policy”) explains the information collection, use, and sharing practices of PDF to CSV (“we,” “us,” and “our”).

This Policy describes and governs the information collection, use, and sharing practices of PDF to CSV with respect to your use of the website and browser extension we provide (together, the “Services”).

Before you use or submit any information through or in connection with the Services, please carefully review this Privacy Policy. By using any part of the Services, you understand that your information will be collected, used, and disclosed as outlined in this Privacy Policy.

Our Principles

PDF to CSV has designed this policy to be consistent with the following principles:

  • Privacy policies should be human readable and easy to find.
  • Data collection, storage, and processing should be simplified as much as possible to enhance security, ensure consistency, and make the practices easy for users to understand.
  • Data practices should meet the reasonable expectations of users.

The Files You Convert

The core purpose of our Services is to convert PDF files into CSV or XLSX spreadsheets. This is the most important category of data we handle, so we explain it first.

  • When you upload or submit a PDF through our website or browser extension, the file is transmitted to our servers solely to perform the conversion you requested.
  • For text-based PDFs, the conversion is performed on our own servers. For scanned or image-based PDFs, we use a third-party optical character recognition (OCR) provider, Mistral AI, to recognize the characters. In that case, the file is transmitted to Mistral AI only to carry out the conversion and is subject to that provider’s privacy and security practices.
  • We use the contents of your files only to perform the conversion you request. We do not sell them, use them for advertising, or share them with third parties for their own purposes.
  • We do not require you to create an account to use the converter, and we do not intentionally retain your files after your conversion is complete. Files may persist for a short time in temporary processing memory or logs and are removed in the ordinary course of operating the Services.
  • You are responsible for the content of the files you submit. Please do not upload documents containing highly sensitive information that you are not comfortable transmitting to an online service.

The Browser Extension

We offer a browser extension that helps you convert PDFs you come across while browsing. The following describes how it handles your information.

  • Detecting PDFs. To show its button and let you convert a document, the extension needs permission to run on the pages you visit. It uses this access only to detect when a page is, or contains, a PDF. It does not read, collect, or transmit the content of ordinary web pages.
  • Converting a PDF. When you choose to convert a PDF, the extension reads that specific file and sends it to our converter so it can be loaded for you automatically. This happens only when you click to convert.
  • Installation and removal. When you install the extension, it may open a welcome page. When you remove it, it may open a short feedback page (hosted on Google Forms) so you can tell us why you left. Responding is entirely optional.
  • What it does not do. The extension does not collect passwords, form inputs, or the content of pages other than the PDF you choose to convert.

Information We Collect

We collect information in multiple ways, including when you provide information directly to us; when we passively collect information from you, such as from your browser or device; and, in limited cases, from third parties.

Information You Provide Directly to Us

We collect information you choose to provide to us — for example, when you contact us, send feedback, or respond to a survey such as our uninstall feedback form. This information may include your email address and the contents of your message or responses. Because the Services are free and do not require an account, we do not collect names, phone numbers, mailing addresses, or payment information.

Information That Is Automatically Collected

Device/Usage Information

We may automatically collect certain information about the computer or device (including mobile devices or tablets) you use to access the Services. This may include (a) device information such as IP address, approximate location (by country and city), unique device identifiers, browser type and language, and operating system; and (b) information about how you interact with the Services, such as referring and exit pages and URLs, the pages and content you view and the order of those pages, the number of clicks, the amount of time spent on particular pages, the date, time, and frequency of your use, error logs, and similar information. As described below, we use third-party analytics providers and technologies, including cookies and similar tools, to help collect this information.

Session Recordings

To understand how the Services are used and to improve them, our analytics provider may record anonymized sessions of your interactions with our website, such as mouse movements, clicks, scrolling, and the pages you view. These recordings are used to diagnose problems and improve usability. We configure this feature to avoid capturing the contents of the files you convert.

Cookies and Other Tracking Technologies

We collect data about your use of the Services through server logs and online tracking technologies, such as cookies and similar identifiers. A cookie is a small text file placed on your device when you visit a website that enables us to (a) recognize your device; (b) store your preferences and settings, such as your chosen language; (c) understand which pages of the Services you have visited and the sites that referred you; (d) perform analytics; and (e) assist with security and administrative functions. We and our analytics provider also use similar technologies to assign an anonymous identifier so that we can measure how the Services are used over time without identifying you personally.

You can change your browser settings to notify you when a cookie is being set or updated, or to block cookies altogether. Please consult the “Help” section of your browser for more information. If you block some or all cookies, certain features of the Services may not function properly.

Information from Third Parties

To the extent permitted by law, we may also receive limited information from third parties, such as analytics and advertising partners, that helps us understand how people find and use the Services. Where we run advertising campaigns, ad platforms may share aggregated or pseudonymous information about the performance of those campaigns.

How We Use Your Information

We may use the information we collect from and about you to:

  • Provide the Services, in particular to convert the files you submit and return the results to you.
  • Operate, maintain, secure, and improve the Services, including developing new features and providing technical and user support.
  • Respond to your inquiries, feedback, and survey responses.
  • Conduct analytics, research, and reporting, including to understand how the Services are used and to derive insights that help us improve them.
  • Measure and improve our marketing and advertising.
  • Comply with the law and protect the safety, rights, property, or security of PDF to CSV, the Services, our users, and the general public.
  • Enforce our terms, including to investigate potential violations.

We may combine information that we collect from you and about you (including automatically collected information) with information we obtain from third parties, and use such combined information in accordance with this Privacy Policy. We may also aggregate and/or de-identify information collected through the Services and use such de-identified or aggregated data for any purpose, including research and improving the Services.

When We Disclose Your Information

We may disclose and/or share your information in the following circumstances:

  • Service Providers. We may share your information with third parties that perform services on our behalf, including hosting, optical character recognition (OCR) for scanned files (Mistral AI), product analytics and session replay (PostHog), and survey/form services (Google Forms). These providers may access your information only to perform services for us and are expected to protect it.
  • Legal Compliance and Protection. We may disclose your information if required to do so by law or in the good-faith belief that such disclosure is reasonably necessary or appropriate to (a) comply with legal process; (b) enforce our terms and this Privacy Policy or investigate potential violations; (c) respond to your requests for support; or (d) protect the rights, property, or personal safety of PDF to CSV, our users, and the public, including for fraud protection and spam or malware prevention.
  • Business Transfers. As we develop our business, we may engage in transactions such as a merger, acquisition, financing, or sale of assets. In connection with such transactions (including during the diligence phase), your information may be disclosed or transferred as one of the business assets.
  • Consent. We may disclose your information to third parties where you have given us your consent to do so.
  • Aggregated / De-identified Information. We may disclose de-identified and/or aggregated data, which cannot reasonably be used to identify you, for any purpose.

Legal Basis for Processing Personal Data

The laws in some jurisdictions require companies to tell you about the legal grounds they rely on to use or disclose information that can be linked to you. To the extent those laws apply, our legal grounds for processing such information are as follows:

  • Performance of a Contract. Much of our processing is necessary to provide the Services you request, in particular to convert your files and return the results to you.
  • Legitimate Interests. In many cases, we process information because it furthers our legitimate interests in ways that are not overridden by your interests or fundamental rights and freedoms. These include providing user and customer support; marketing and advertising the Services; protecting our users, personnel, and property; analyzing and improving the Services; and managing legal issues.
  • Legal Compliance. We may need to use and disclose information to comply with our legal obligations.
  • Consent. Where required by law, and in some other cases where legally permissible, we process information on the basis of consent. Where we rely on consent, you have the right to withdraw it at any time, in accordance with applicable law.

Online Analytics

We use third-party product analytics services — currently PostHog — to collect and analyze the information described above and to conduct auditing, research, and reporting. We may also use other analytics or advertising measurement tools in the future. The information collected by these technologies (including your IP address) is disclosed to, or collected directly by, these providers, who use it to evaluate your use of the Services, analyze usage trends, and help us improve the Services. Depending on your region, we ask for your consent before setting non-essential analytics cookies, and you can decline or withdraw consent at any time. You can also block cookies through your browser settings as described above.

Your Choices and Data Subject Rights

You have various choices and rights with respect to the collection and use of your information:

  • Analytics and Cookies. You can block or delete cookies through your browser settings and, where a consent banner is presented, decline non-essential analytics and session recording. Doing so will not prevent you from converting files.
  • Communications. If we ever send you marketing emails, you can unsubscribe at any time using the link in the message or by emailing us at the address below.
  • EU/UK Data Subject Rights. Individuals in the European Economic Area, the United Kingdom, and other jurisdictions have certain rights (subject to applicable exceptions and limitations) to obtain confirmation of whether we hold information about them, to access that information, and to obtain its correction or deletion in appropriate circumstances. You may also have the right to object to or restrict our processing and to withdraw any consent you have provided. To exercise these rights, email us at the address below describing the nature of your request. You also have the right to lodge a complaint with your local supervisory authority, although we encourage you to contact us first so we can try to resolve your concern directly.

International Transfers

We may process and store information in, and share it with service providers located in, countries other than your country of residence — including, for example, the United States (our analytics provider) and the European Union (our OCR provider). These countries may have data-protection laws that differ from those in your jurisdiction. Where we transfer personal information internationally, we take steps to ensure it receives an adequate level of protection in accordance with this Privacy Policy and applicable data-protection laws. By using the Services, you acknowledge such transfers.

Security Measures

We have implemented technical, physical, and organizational measures designed to protect against the loss, misuse, and alteration of the information we collect. These safeguards vary based on the sensitivity of the information. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee that these measures will prevent every unauthorized attempt to access, use, or disclose your information.

Children

The Services are intended for users over the age of 18 and are not directed at children. If we become aware that we have collected personal information (as defined by the U.S. Children’s Online Privacy Protection Act) from a child under 13, or personal data (as defined by the EU GDPR) from a child under 16, we will take reasonable steps to delete it as soon as practicable.

Data Retention

We retain the information we collect for as long as necessary to fulfill the purposes described in this Privacy Policy, or as long as we are legally required or permitted to do so. As noted above, we do not intentionally retain the files you convert after the conversion is complete. Analytics information is retained according to the settings and policies of our analytics provider. Information may persist in backups for a limited additional period.

Third-Party Links and Services

The Services rely on, and may contain links to, third-party websites and services — for example, our OCR provider (Mistral AI), our analytics provider (PostHog), and our feedback form (Google Forms). If you follow a link to a third-party site or use such a feature, your information may be handled according to that third party’s own privacy policy, not this one. We are not responsible for the content or privacy practices of third-party websites or services, and we encourage you to read the privacy statement of every site and service you use.

Changes to this Privacy Policy

We will continue to evaluate this Privacy Policy as we update and expand the Services, and we may make changes accordingly. We will post any changes on this page and revise the “Last Updated” date above. We encourage you to review this page periodically. If we make material changes, we will provide notice as required by law.
